How to overcome difficulties of printing large data table in an excel
we all fall in love with excel only.
Excel program is actually designed for complicated calculations.So some difficulties occurs when printing of large calculations of data sheet.lets see how to overcome this difficulties.
The most authentic and easy way of making different types of complicated calculations is excel.There are different programs like open office,liber office,king soft office,Google sheet,etc are also available for calculations either free of cost or with a negligible cost,but we all fall in love with excel only.
Excel program is designed for making calculations on a computer screen.In an excel spreadsheet you can make your calculations table very wide and deep too,but when you go for printing thinking of that all the printing will come on a single page and in a proper way.But most of the time it happens that some printing goes in the second page,some columns also distributed in between first and second or third page.so all our work gose useless and their by all our time and paper also be of no use.So if at all it happens with you all then to overcome this situations it is necessary to understand the ways for proper printing from excel spreadsheet programs.
For this first copy your spreadsheet of big data table on a trial file and go step by step as mentioned below.
(1) First decide how much data paper you required.
If our data table is too big and we don’t wont to print full paper then first you have to decide how much data you want for printing.If you don’t wont some column for printing then select that unwanted column from its head and right click it,this will gives you option for hiding the column which you do not wont to print.(If you hide the column in between the two column than that column will appear as a thick line.After the printing gets over and if you again select those two column and by clicking the right tab you can again unhide that column and it will shown on your computer screen)
(2) Now lets see approx area required for printing.
If you want to see how much printed paper will require for your data calculations on a spreadsheet then check for the next steps.
- Open your view tab in your ribbon.
- click on page break preview.
If your table content is long enough than you will see that your content has been spread over to 2 to 3 pages.So it’s of no use to print the right side of the column to get printed on the second page.After hiding the unwanted column also,if last one or two columns are going in second page then that problem can also be sorted out.secondly don’t assume that raw and column line which you are watching on screen that will also be printed !!! To overcome all these we can give different types of border to each and every column and a row.
- select data
- Go to font group in a home tab
select the option to create border from all the side of your cell.
(3) Now can you read all the data of your cell ?
There is one feature in excel to save the space of the computer screen.If your work data is much more,then excel hides some of the data on a computer screen and printing of data will also be done of only those data which are showing on the screen and not of hidden data.So we have to adjust our data accordingly so that all the data will appear on the screen.It is very necessary to overcome this situation where there is a long addressed data.for this apply the following steps.
- Go to the home tab of your ribbon
- go to alignment group
- click on wrap text.
by clicking on the wrap text the height of your data cell will increase and you can see the hidden text and lines of your data.You can also adjust your data from bottom allied to top allied.
(4)Now start for the main part of the printing.
first of all go through all the works you have done before printing and make corrections if any.see all the settings explained above is fulfilled.
Now let’s check if all the printable columns are coming in one page only.If not then let’s go for solution.
first select the content of your table you want to print from your mouse
- Click on office tab
- Click on print tab
- Click on print what and go to selection
- see the preview.
- go downside of the page
you will see the number of pages required to get your table print.
If at all some column goes in a second page then again we have to find the way out for this to print.
For this,see if all the columns comes in a single page by horizontal printing rather than verticle printing ?
To know this
- click on page set up
- change the page orientation from portrait to landscape
- see if all the columns comes in a single page or not.
Alternately you can also click on Show margins,and try to send lines of your columns from the second page to the first page.
Here in margins option you will get the various advantages like;
- you can print the table from the middle of your page.
- you can add header or footer.
- you can also add different title to your each row and columns if your table goes in one or more pages for printing.
There are third way also to sync your big table in one page only.
- Go to page set up window
- Go to fit to option in scaling
- write 1 in both the boxes
By applying this your table will turns to small and will fit in a single page.But one draw back is that if your table is too big and when you adjust it in any way in one page only, than after giving print command in excel, the outcome will be very small that one finds it difficult to read.
Thats all now you can go ahead with your printing with all your data set.
